Important Update: Due to Federal requirements (8 U.S. Code 1324b), signage that indicates work authorization is a condition of employment or would be used as a screening tool may not be displayed. 

 

We are looking forward to you joining us for the HELPS Career & Internship Fair at Florida State University on Wednesday, March 27th from 11 a.m. - 3 p.m. in the Student Union Ballrooms!  Below are a few things you should know to help make your day successful:

SCHEDULE OF EVENTS

10:00 a.m. - Employer check in opens.  Representatives will check in with Career Center staff on the 2nd floor of the Student Union - outside the ballrooms.  We will direct you to your table and provide you information on the day.  During this time, you can set up and decorate your tables to prepare for students!

10:00 a.m. - 12:00 p.m. - Lunch is available for employers! If there are any dietary restrictions, please notify Tori Andrews (vandrews@fsu.edu) before March 6 2024. 
11 a.m.- 3 p.m. - Fair Open to students - please note, there is not a place within the Union to make photocopies if you run out of materials; we recommend making a QR code that students can scan that links to any materials you may give out. 

3 p.m. - Clean up & departure - see you next year!

Printing note:  we anticipate between 500-750 students at the HELPS Fair!  There are no printing facilities for employers at the Union, so we won't be able to physically print more handouts for you if you run out.  Go green and offer a QR code (or other link) at your table instead.  Having students enter their information into a linked online form is also a great way to compile contacts for a personalized follow up.

Registration Details

Need to see if you requested electricity?  How many reps did you say would attend?  Need a copy of your invoice?  All of this information is available on NoleNetwork!  Here’s how to access:

  1. Log into NoleNetwork and click “events” and then “career fairs” on the left side
  2. Scroll until you see the fair you registered for and click the “registered” button next to the event
  3. Select the fair you are registered for.
  4. On the left side, click "Confirmed" (in green) to access your registration.
  5. Scroll to the bottom of the page and select "modify".
  6. Click through the "next" button until you get to the section you wish to modify.
  7. Click "review and confirm" at the very bottom of the page, and then submit!

 

The last day to add/modify any add-on's (electricity, additional reps, dietary requests for meals, etc) for the HELPS Career & Internship Fair is March 6, 2024 at 5:00 p.m.  Please note: electricity will not be available for purchase at the event. 

  • Electricity ($25.00 plus applicable taxes) - electricity will not be available for purchase at the event. 
  • Additional Table ($100.00 plus applicable taxes) - does not add additional reps to your registration
  • Additional reps ($50.00 each plus applicable taxes) - Two (2) representatives are included in your registration. Additional reps are $50 per person (plus applicable taxes). This covers entry into the event along with all event benefits for the individual. Max limit for employer representatives for the HELPS Career & Internship Fair is 4 per registration.

Boxes need to be clearly labeled with your organization.  If your organization has more than one (1) box, please number them appropriately. Items must be received between March 6, 2024 and March 26, 2024. Packages can be received Monday-Friday from 9am – 4pm EST.  All packages will be located at your booth upon arrival.

We highly encourage you to track your packages to ensure receipt.  Due to the set-up of the event and package receipt process, we are unable to confirm if packages have been received.  We also encourage you to bring all tracking information for your packages in the case of a missing box.  

If you need packages shipped out earlier, we encourage you to take them to a local FedEx or UPS store as you leave the event. The closest locations are:

Parking Information

Each organization can use one space within the Woodward Garage.  There will be attendants directing you on where to park.  The address is 104 N Woodward Ave Tallahassee, FL 32306.  Please follow the signs to the parking garage.  Parking is nose-in parking only - you cannot back in.  A parking pass will be sent to the email of the individual who registered for the event.  

Parking is first-come first-serve.  If you arrive after the event starts, you will be responsible for finding your own parking.  If you are bringing more than one car, please park the additional car(s) in visitor parking at Doak Campbell Stadium.  We also strongly encourage Uber/Lyft or other rideshare options.  

Here are some alternative to parking in the reserved area:

  1. Guest parking at Doak Campbell Stadium at the Visitor's Center (https://www.visit.fsu.edu/directions/) It is approximately $7.50/day and a 15 minute walk from the event space.
  2. ParkMobile Meter/App pay by the hour spots around campus.  Rate of $1.00 per hour from 7:30 a.m. to 4:30 p.m. and $0.50 per hour after 4:30 p.m. These spaces are available on a first-come, first-served basis.  You will need to download the ParkMobile app. 
  3. Virtual visitor Permit through the Parking & Transportation Office for any white space that does NOT have a sign within the Traditions Garage.  These are $5.00 per day. 
    1. Visit Parking & Transportation Parking Permits and click Visitor Login (https://transportation.fsu.edu/parking-permits)
    2. You will create a guest account.  Complete the steps to register, get permit, and enter your vehicle information. 

* Note: the last two options get very busy with student parking, so spaces may be harder to find.

The Career Center is not responsible for any parking tickets if you park in an unauthorized parking area.

Setup Information

You will be provided a 6' table with two chairs at the event.  There is approximately 6-8" of spacing between tables.  You are welcome to bring your own tablecloth, banners, signage, etc as long as they fit into your booth.  

In order to protect our new Student Union, we ask that you help us follow a couple of rules:

  • No glitter
  • No helium balloons (even if they are weighed/tied down)
  • Help protect the floors - if you are using metal stands, please also use something like felt to help protect the floors. 

Career Center staff may have you alter/remove items if they are found to be breaking these rules. 

Electricity/Additional Reps/Add On's

  • Each registration comes with two representatives.  Additional reps are $50 each (plus applicable tax), which covers entry into the event, as well as all event benefits for the individual. 
  • Electricity ($25 plus applicable tax) must be requested before March 27, 2024.  Electricity will not be available for purchase at the event. 
  • An additional table for your booth can be purchased for $100 (plus applicable tax).  This would give you approximately 12' of table space - please note, this does not include additional reps.

Lunch & Other Food Options (close to the event)

Lunch is served buffet style.  If you have any special dietary need, please contact Tori Andrews (vandrews@fsu.edu) by March 6, 2023.  After this date, we cannot guarantee that we will be able to accommodate special dietary needs.

Payment Options

We accept payment by check or credit card (MasterCard, Visa, or American Express).  Checks can be mailed to the Career Center, and credit card payments can be made in NoleNetwork or over the phone with a Career Center staff member.  We are not able to take payment via ACH or EFT.   **Payment is due prior to arrival to the fair. 

  • Credit card payments can be made once the registration is approved and you receive an invoice via email. 

  • Credit card disputes leading to chargeback will incur a $15 fee.
  • All credit card payments are processed by Symplicity.

Cancellation, No-Show, and Refund Policy

The last day to cancel any part of your registration (full or add-ons) and receive are fund will be March 6, 2024 by 5:00 PM EST. If you register after this deadline, you will not be eligible for a refund. Any cancelations or changes to your registration after this time will not receive a refund or transfer to another event.  All cancelations must be in writing, submitted to Tori Andrews at vandrews@fsu.edu.

Registered organizations who fail to show up at the event will still be charged for the event. Career fair "no-shows" are not entitled to transfers or refunds at any time. This is also applicable to virtual fair "no-shows." No-shows forfeit their entire registration fee and materials and are not eligible to roll the registration package over to another event. Outstanding bills from previous events will prevent employers from participating in future career fairs.

 

IN CASE OF EVENT CANCELLATION:  If a catastrophic event (extreme weather conditions, cancellations due to COVID restrictions, or other similar circumstances) occurs and the University is closed, the event will be cancelled or rescheduled.  Should the event not be rescheduled or an employer is unable to attend on the new date, the organization may request a credit towards registration to a future event or a refund, which will be 75% of the registration fee. 

Top 5 Ways to Maximize Traffic At Your Booth

1. Request a room for day after interviews

Day after interviews offer a centralized, convenient location and timeframe for students to interview with employers.  Build your interview schedule at Seminole Futures, making it easy to find top talent and manage your schedule.  To request an interview space:

  • Within NoleNetwork, click the "OCR/Interviews" option in the left menu
  • Click the "Request a Schedule" box in the middle of the page and fill out your request
  • Remember to select "Room Only" in the schedule type
  • Click "Submit" - requests will be processed within 48 hours and you'll receive a confirmation email once approved

Please note, on-site day of interviews are not available for this event. 

2. Post your jobs and update your Employer profile on NoleNetwork

We encourage all students to research employers attending Seminole Futures ahead of time, and an up-to-date NoleNetwork profile is not only the best way to show commitment to offering competitive student opportunities, but also a means to ensure students show up prepared to discuss them with you at the Fair! An updated NoleNetwork employer profile turns a curious student into an educated and engaged Seminole Futures attendee and applicant!

To post your positions in NoleNetwork,

  • Log into NoleNetwork and select 'Jobs' and 'Job Postings' on the left side of the menu.
  • Scroll to the bottom of the page and click the garnet 'Post A Job' button.
  • Complete your job posting!  Remember to tailor your job description and any other information to students!
  • Click submit.
  • Note: approval for job postings can take anywhere from 1-3 business days, depending on volume. 
3. Request access to resume books

The Resume Books section in NoleNetwork is a compilation of public FSU student and recent grads resumes.  With access, you can filter for specific criteria, such as class level, degree level, GPA, graduation date, major and more, as well as search via key word within the document.  Download your list into a PDF or email students directly to invite them to visit you at the fair! 

To request access to resume books in NoleNetwork,

  • Click 'Surveys' on the left side of the menu
  • Click "Employer Resume Book User Agreement Policy" and fill out the user agreement survey
  • You will be granted access within three business days

4. Connect with Student Organizations (RSO's)

We highly recommend you connect with student organizations to help build your brand awareness.  Many organizations are eager to connect with employers to plan visits, workshops, and more.  Plus, when you plan to host interviews or visit campus, these connections can help spread the word!

Note: these organizations are more active during the fall and spring semesters.  Find a full list online at NoleCentral (https://nolecentral.dsa.fsu.edu/organizations).

For College of Business specific organizations, visit https://business.fsu.edu/students/clubs-organizations .  Other employers have had success connecting with: Women in Business, Alpha Kappa Psi, and Delta Sigma Pi.  

For FAMU-FSU College of Engineering specific organizations, the College provides a full list at https://eng.famu.fsu.edu/student-organizations .  They have various websites and social media pages you can utilize to reach out directly to student members and/or faculty advisors.  

5. Embrace Technology

Digital employer packet: we will update this site leading up to the fair with all logistical information, tips to win, and more!  Be sure to check back often!
